1. The information we collect

When you use or interact with us through the Services, we collect personally identifiable information. This will normally be on behalf of a Client using our Services to organize an event. Users must consent to us collecting their personally identifiable information before accessing our Services.

For all Users, we gather personally identifiable information when you voluntarily give such data to us to enable us to provide the Services, e.g., when you sign up to use the Services, send an inquiry, access a resource provided by us or interact with our Services in any other way. The personally identifiable information we may gather includes, but is not limited to, your name, address, email address and other data that empowers Users to be distinguished.

We may track Users by storing a unique identifier for analytics purposes or for storing Users' preferences. We may also automatically collect certain personally identifiable information when Users visit the Services, including site analytics, Users' IP addresses, site usage data, browser name, the type of computer and technical information about Users’ means of connection to our Services, such as the operating system and the Internet Services providers utilized and other similar information. 

2. How we use your personally identifiable information

The Company collects and uses Users' personally identifiable information and other information for the following purposes:

(a)  To register your User account.

(b)  To personalize the User experience. We may use personally identifiable information in the aggregate to understand how our Users as a group use the Services and resources we provide.

(c)  To process event-related transactions, including ticket purchases and hotel bookings. We may use the personally identifiable information Users provide about themselves when placing an order only to provide Services to that order. We do not share this information with outside parties except to the extent necessary to provide the Services.

(d)  To facilitate Client communications. If you registered for an event through the Services, your email address is available to our Client. However, our Clients may also import the email addresses they have from external sources and send communications through the Services to those email addresses, and we will deliver those communications to those email addresses on our Client's behalf. Our Client, and not the Company, is responsible for sending these emails. We will also share Community Event analytics about you with our Clients. This helps our Clients understand interest in their events.

(e)  To provide support. We may use your personally identifiable information when providing you with technical support.

3. How we protect your personally identifiable information

(a)  We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personally identifiable information, username, password, transaction information and data, including personally identifiable information that may be stored as a result of your use of our Services.

(b)  Sensitive and private data exchange between the Services and its Users happens over industry standard Secure Sockets Layer (SSL) encryption technology.

(c)  While we endeavor to protect your personally identifiable information, we cannot guarantee the security or privacy of your personally identifiable information. You agree to transmit your personally identifiable information solely at your own risk.

(d)  We shall investigate and report data breaches within a reasonable time of becoming aware of such breach. When a breach of personally identifiable information is likely to result in a high risk to the rights and freedoms of individuals then the Company, as Controller, will notify the affected individuals without undue delay.

4. How we disclose and/or share your personally identifiable information.  We do not sell, trade, or rent Users' personally identifiable information to others except as provided for herein:

(a)  We may use third party services provider to help us operate our business and the Services or administer activities on our behalf, such as sending out surveys. We may share your personally identifiable information with these third parties for those limited purposes.

(b)  We may share personally identifiable information with our software developers, system integrators, and payment processors, subject to our safeguards and protective measures.

(c)  When you register for an event through the Services, we provide the personally identifiable information entered on the applicable event to our Client sponsoring such event. In some instances, our Client may appoint a third party, which may or may not be affiliated with our Client, to which our Client directs us to provide your personally identifiable information on behalf of our Client. In this case, we are not responsible for adhering to the direction of our Client, or its subsidiaries, with respect to your personally identifiable information. It is important that you review the applicable policies of our Client, and if applicable and available, Client’s appointed subsidiaries, of an event before providing personally identifiable information or other information.

(d)  We may disclose personally identifiable information if required by law or when we deem it necessary in an emergency situation.

(e)  In the event of a corporate sale, merger, reorganization, dissolution or similar event, personally identifiable information may be part of the transferred assets. You acknowledge and agree that any successor to or acquirer of the Company (or its assets) will continue to have the right to use your personally identifiable information and other information in accordance with the terms of this Privacy Policy.

5. How you can access, update or delete your personally identifiable information

You can request access to some of your personally identifiable information being stored by us. You can also ask us to correct, update or delete any inaccurate personally identifiable information that we process about them.

If you are attending an event and registered to attend the event through the Services, some of your personally identifiable information may be available to be editable depending on whether or not our Client sponsoring the event allows it. If not, you can contact our Client sponsoring the event directly to exercise these rights.

Unless prohibited by law, if you initiate a data deletion request, the Company is authorized to delete or anonymize your personally identifiable information from the Services even if that means removing its availability to our Client through the Services. However, you understand that even if the Company deletes or anonymizes your personally identifiable information upon your request or pursuant to this Policy, your personally identifiable information may still be available in our Client's own databases if transmitted to our Client prior to the Company receiving or taking action on any deletion or anonymization activity.

6. How long we retain your personally identifiable information

We may retain your personally identifiable information as long as you are registered to use the Services. You may close your account by contacting us. However, we may retain personally identifiable information for an additional period as is permitted or required under applicable laws. Even if we delete your personally identifiable information it may persist on backup or archival media for an additional period of time for legal, tax or regulatory reasons or for legitimate and lawful business purposes.

7. Third-party websites and content 

Users may find content posted by other Users, advertising, or other content available from our Services that link to the sites and services of our partners, suppliers, advertisers, sponsors, licensors and other third parties (collectively, “Third Party Content”). We do not control the content or Third Party Content links that appear on these sites and are not responsible for the practices employed by websites linked to or from our Services or content posted by other Users. In addition, these sites or services, including their content and links, may be constantly changing. These sites and services may have their own privacy policies and customer services policies. Browsing and interaction on any other website or Third Party Content, including websites which have a link to our Services, is subject to that website's own terms and policies.

The Company reserves the right to make changes to this privacy policy at any time by giving notice to its Users on this page. It is strongly recommended to check this page often, referring to the date of the last modification listed at the bottom. Unless stated otherwise, the then-current privacy policy applies to all personally identifiable information the Company has about Users.

11. Exclusions

11.1. Personally identifiable information provided to others

This Privacy Policy does not apply to any personally identifiable information that you provide to another User or visitor through the Services or through any other means, including to our Clients on event pages or information posted by you to any public areas of the Services.

11.2. Third Party Links

As a convenience to you, we may provide links to third-party services from within our Services. We are not responsible for the privacy practices or content of these third-party sites. When you link away from our Services, you do so at your own risk. This Privacy Policy does not create rights enforceable by third parties, nor does it require disclosure of any personal information relating to Users of the Services.

12. Children - Children's Online Privacy Protection Act

We do not knowingly collect personally identifiable information from children under the age of thirteen (13).
