Meeting Logistics (MTG) was proud to return for a second year in support of our pharmaceutical client’s annual company-wide gathering, a 3-day, 2-night retreat held at the newly opened Crotonville Conference Center in Ossining, NY, recently rebranded to Windrose on Hudson.
This meaningful event brought together the entire organization—founders, leadership, and employees—for a rich and collaborative experience. Designed around a powerful theme developed by the client, the program seamlessly integrated messaging, team connection, and creative engagement. MTG provided full-service meeting management, handling logistics and execution with precision while ensuring the client’s vision was fully realized.
How We Helped Bring this 2025 Corporate Gathering to Life:
Contract & Financial Stewardship:
With many aspects of the program still evolving at the time of booking, MTG worked closely with the venue’s sales team to negotiate flexible contract terms. One key outcome was the inclusion of protective attrition clauses—originally denied—which ultimately saved the client nearly $25,000.
Venue Utilization at Crotonville:
Crotonville’s campus-style setting presented both opportunities and complexities. MTG partnered with the client to map out the flow of sessions, social activities, and meals, ensuring optimal use of the multi-building layout and efficient movement between spaces.
Theme-Driven Social Event with Weather Contingency Planning:
Our client envisioned a themed outdoor evening event on the venue’s plaza. MTG supported this vision by managing the design and coordinating with suppliers. When weather conditions required moving the event indoors, we seamlessly implemented our back-up plan, preserving the original vision with custom lighting, theme aligned linens, beautiful florals, and interactive food stations.
Transportation Coordination:
With attendees traveling from multiple airports and the company’s nearby headquarters, MTG developed a comprehensive ground transportation plan tailored to each traveler’s schedule. Our team managed data collection and clear communications to ensure a smooth arrival and departure experience for all guests.
